n8n review: Decide who operates the workflow before choosing self-hosting

The short version

A useful starting point

Consider n8n when the team can own the workflow and the chosen deployment model.

A good fit if…

Technically supported teams with a defined automation requirement.

Look elsewhere if…

Self-hosting appeals mainly because nobody has budgeted operational work.

A team with technical help may want more control over how an automation service is deployed. n8n is a candidate for that situation, but deployment is part of the product decision. A workflow that works once on a developer’s machine still needs a maintained home and a person responsible for its failures.

Two decisions, not one

The n8n documentation describes workflows as connected nodes and offers managed Cloud or self-hosted deployment. It also separates deployment choice from plan or edition. Do not infer a commercial right, collaboration feature or service commitment from the fact that software can run on your own infrastructure; check the current terms for the intended use.

Start with a bounded internal process

For a hypothetical editorial team, consider moving approved article metadata into an internal publishing checklist. Define which system owns the approval and which fields the workflow may change. Preserve the source record ID so a maintainer can compare the original record with the destination. Keep actual publication as a separately governed action until the transfer is dependable.

Build a small example set with missing data and repeated inputs. Write down the expected behavior before testing. This exposes ambiguous business rules that a more flexible technical tool cannot decide for you. The value of control is the ability to implement a known requirement, not a reason to leave the requirement unspecified.

Price the operational responsibilities

For self-hosting, name owners for updates, access, backups and recovery. Include the time needed to investigate a failed execution and restore service. A managed option changes the infrastructure burden but does not remove responsibility for credentials, mappings or business rules inside a workflow. Compare the total arrangement rather than software cost in isolation.

Review the handover, not just the demonstration

Ask another maintainer to identify where inputs come from, which external records can change and how to stop or recover the workflow. Record the required configuration without putting secrets into a shared checklist. Choose n8n when its deployment and workflow model fit the team’s operating ability, and keep the initial automation small enough to understand under pressure.

Review scope

This is a research-based editorial assessment of the linked official documentation, not a hands-on test or a performance benchmark. Suggested trials are evaluation exercises, not reported results. Confirm current plan access, charges and integration requirements before subscribing. Sources checked on 2026-10-24.

Strengths

  • Managed and self-hosted routes support an explicit deployment decision.

Limitations

  • Infrastructure control adds responsibility and does not settle licensing or plan access.

Before you decide

  • Review the intended use against current terms.
  • Name update, backup and recovery owners.
  • Test a handover to another maintainer.
